What we actually install

This page sells no concept. It states what a business gets when it starts with us: three layers, a back-office core, the channels, and the AI agents. Every brick answers an identified need, none is there for comfort. Including what is out of scope, and the trade-offs worth knowing before you decide.

The back-office core

Five open-source applications on your own dedicated server. Each answers an identified need, none is there out of habit. Documents and goods come in one side, cash position reads out the other.

Application What it does What it solves Opens
Invoice NinjaBilling
Function Quotes convert straight into invoices, import proformas, multi-currency with the rate on the day, deposits and balances tracked, automatic reminders, client portal.
Solves Issuing compliant commercial documents, from the very first supplier proforma.
At launch
PaperlessDocuments
Function Drop by folder, email or phone photo. The content is read automatically, photos included. Full-text search, filing by correspondent and tags, original always kept.
Solves Time lost on certificates, technical sheets and import invoices.
At launch
VaultwardenCredentials
Function Encrypted vault synced to browser and phone, shared collections, one-time codes built in, one access revoked without changing everything.
Solves Access scattered across suppliers, marketplaces, the bank and the carriers.
At launch
InvenTreeStock
Function Reference catalogue, batches and serial numbers, expiry dates with alerts, tiered supplier pricing, locations and movements, orders tied to real stock.
Solves Traceability that batch-bound goods demand, cosmetics, food or supplements, and a recall confined to a single batch.
First order
Firefly IIICash
Function Multi-currency accounts with FX effect, automatic classification by rules, committed versus received versus available, bank statement import.
Solves A cash position gone unreadable when you buy in foreign currency and sell in baht.

How information flows

PaperlessSupplier documents, read and filed
InvenTreeGoods received, batches and expiry
Invoice NinjaQuotes and invoices
Firefly IIIMulti-currency cash position
Vaultwarden · holds the keys to all four, and to the supplier, marketplace and bank accounts

Only bank statements need manual entry: Thai banks do not open their accounts to management software.

What gets configured

  • Billing. A template carrying the Thai tax mentions, strictly sequential numbering, Thai font embedded in the PDF, baht as reference currency.
  • Documents. Content recognition switched on for Thai, English and Chinese, the three scripts supplier documents arrive in.
  • Stock. Batch and expiry made mandatory at reception, categories kept apart where regulation keeps them apart.
  • Cash. Sub-accounts in the purchase currencies, an import template matched to the chosen bank's statement.

Out of scope

  • Statutory accounting. Closing, filings and the annual audit remain a licensed accountant's work. The applications hand them clean records.
  • Automatic bank feeds. The interfaces Thai banks publish cover payment and transfer verification, not account aggregation. Statements are imported by hand.
  • Product registration. Product families fall under distinct regimes, and a treatment claim moves a product into a far heavier one.
  • Online store. No storefront is included at this stage.

Compliance note. Electronic invoicing is not mandatory in Thailand today, the Revenue Department scheme remaining optional. The constraint bears on the content of the document, not on how it is transmitted, and is settled once when the template is configured.

02

Presence and distribution

Four channels to open and two open-source tools to hold them. What each channel really brings on this market, what gets configured once, and what stays the brand's own work.

Channel What it brings here What it solves Opens
LINEOfficial Account
Function Official account: segmented broadcasting, direct messaging, a permanent menu, a loyalty card. 84 percent penetration, 56 million active accounts in the country.
Solves Customer relationship and repeat purchase, on the channel where the Thai customer actually replies.
At launch
FacebookPage
Function Business page, catalogue, reviews, and local groups still very much alive. The country's first network, 89 percent penetration.
Solves Proof of existence, and discovery on the domestic market.
At launch
TikTokShort video
Function Short video, product discovery, testing hooks at zero cost. 83 percent penetration, the dominant ground for beauty.
Solves View volume, and testing what catches before putting a budget behind it.
At launch
InstagramVisual
Function A visual shopfront fed by recycled vertical clips. 67 percent penetration, consulted to check a brand exists.
Solves Credibility with resellers and export buyers.
Week 2
YouTube, PinterestLong tail
Function Long-tail discovery traffic with buying intent, useful mostly outside Thailand. Neither demands a sustained cadence.
Solves Export visibility, which keeps working for months without prompting.

How content and messages flow

PostizOne queue, scheduled posts
Human checkThe one deliberately manual step
Facebook · Instagram · TikTokPublished on schedule
ChatwootOne inbox for everything coming back
LINE · piloted separately, no scheduler covers it. Only an actual order passes into the back-office core.

Content leaves from a single queue, everything coming back lands in a single inbox, and nothing goes out under the brand's name without a person reading it first.

Layer Choice Consequence
Scheduling

Postiz on the dedicated server

One queue for three networks, no per-seat fee.

Messaging

Chatwoot, unified inbox

LINE, Messenger and Instagram in one place, without sharing a password.

LINE broadcasting

Official account, tier chosen on real volume

Free up to 200 messages a month, around 1,280 THB for 15,000 broadcasts.

Cadence

One shoot a week, queued in one batch

You do not shoot and publish on the same day.

Validation

Human read before queueing

No text appears under the brand's name unread.

Access

Accounts filed in the core's vault

Revoke one access without changing every password.

What gets configured

  • LINE. A permanent menu to the catalogue and contact, an automatic welcome message, consent collected on add, the tier chosen on real volume.
  • Accounts. Business accounts, never a personal one. Same name and same visual across all four, one single destination.
  • Content. One text per platform and never a copy-paste, Thai as the main language, English for export.
  • Measurement. Four indicators only: qualified inbound messages, LINE followers, posts actually published, sales traced back.

Out of scope

  • Paid advertising. LINE Ads and Meta Ads assume a media budget and separate piloting, not included here.
  • Online selling. TikTok Shop, LINE Shopping and marketplaces need a storefront and logistics, outside this perimeter.
  • Photo and video production. Shoots, models and image rights stay with the brand.
  • Claim validation. The compliance of advertising copy belongs to the brand and, where needed, to its counsel.

Advertising. Advertising a cosmetic in Thailand requires no prior licence, and the health administration has publicly warned against intermediaries selling one. The claim, however, must be accurate and not misleading: any promise of a therapeutic effect or of action on how the body works reclassifies the product as a medicine, a far heavier regime. The advertising manual was revised in 2024 and the list of prohibited claims widened.

Personal data. Commercial broadcasting assumes consent collected at sign-up and withdrawable at any time, on pain of sanction. The LINE welcome message is the natural place to ask for it.

03

Agents, watch and prospecting

Two agents and three open-source bricks to find prospects, follow the market and automate what repeats. One rule holds it together: what may leave the company and what must not never travel the same path.

Brick What it does What it solves Opens
HermesPrivate agent
Function An assistant reachable from an ordinary messaging app. Executes a task described in one sentence, keeps the context of a case, sends scheduled updates. Runs on a model installed on the machine.
Solves Time lost opening five tools for one simple question.
Week 2
OpenClawOpen agent
Function A second agent gateway, on its own channel and its own online model. Takes the market watch and prospect research, where speed matters more than confidentiality.
Solves The mixing of what may leave the company with what must not.
Week 2
MinifluxWatch
Function Feed-based watch, filtered by language, keyword and age. Competitors, regulation, raw materials, trade fairs.
Solves Following the market when nobody has time to follow it.
Week 1
n8nOrchestration
Function Chains triggered by a time, an email or a form. Every run leaves a trace and replays identically.
Solves Repetitive tasks done by hand, and the oversights they cause.
Week 3
QdrantMemory
Function Indexed memory: documents, watch items and sheets found by meaning rather than exact wording. Two sealed collections, one open and one sensitive.
Solves Re-explaining the whole context every time the same question comes up.
Week 2

Compartmenting, and how information flows

MinifluxPublic sources, filtered
QdrantMemory, kept in two sealed halves
Hermes · OpenClawTwo agents, strictly separate
Human checkBrief, list, draft text
n8n · triggers, chains and replays the four steps, keeping the trace of every run

Watch and company documents enter through two distinct doors, the agents draw on them and answer in messaging. Nothing reaches a third party unread: it is the one deliberately manual point in the chain.

Layer Choice Consequence
Sensitive side

Model installed on the machine

Margins, client list and pay never leave the server.

Open side

Online model, public sources

Fast and billed by usage, without exposing internal data.

Compartmenting

Two indexes, two agents, two channels

A misconfiguration on one side spills nothing from the other.

Orchestration

Chains versioned in n8n

A failed run replays instead of being rediscovered.

Watch

Filters by language, keyword and age

Noise is cut before reading, not after.

Validation

Nothing goes to a third party unread

Nothing appears in the company's name without being read.

What gets configured

  • Prospect research. Verticals and countries defined first, importers, spas, resellers or export distributors. Without a target, an agent brings back volume without quality.
  • Watch. A dozen chosen sources and filters set from day one. An unfiltered watch never gets read.
  • Compartmenting. What counts as sensitive is decided once, margins, client file and pay, and holds as the default rule.
  • Review. One review pass before anything is sent, prospecting messages included. The agent prepares, a person sends.

Out of scope

  • Automatic sending. No prospecting message leaves unread, however good the text looks.
  • Mass personal-data collection. No scraped databases and no bought lists, for the reason set out below.
  • Commercial decisions. The agent sorts, summarizes and proposes. It picks neither the price, nor the supplier, nor the client.
  • Structured sales tracking. A CRM opens separately, if volume justifies it.

Personal data. A business contact is still a person: Thai law requires a legal basis, clear information and a withdrawal available at any time. A bought file or a scraped database meets none of that, and the penalty runs into millions of baht.

Sources and models. Collection sticks to public sources and open directories, automated extraction being forbidden by most networks' terms. And what is handed to an online model has left the company's perimeter: that is the reason for the local model on the sensitive side.

04

What holds it all up

All three layers sit on the same machine, configured the same way, with the same duty of care.

Layer Choice Consequence
Host

Dedicated virtual server, Ubuntu LTS

No cohabitation with another company, data isolated.

Runtime

Containers, versions pinned

No update ever arrives by surprise.

Web access

Reverse proxy, automatic certificates

One subdomain per application, encrypted throughout.

Administration

Private network, public SSH port closed

No administration surface exposed on the internet.

Backup

Daily encrypted copy, off the server

Restore tested and timed before go-live.

Monitoring

A probe per application, push alerting

A failure is detected before it is reported to us.

What this choice gives you

  • No licence to pay. The cost rises neither with the catalogue, nor the invoices, nor the number of users.
  • The data belongs to the company. Exportable at any time, without depending on a vendor's goodwill.
  • Adaptable to the trade. Thai tax mentions, batch and expiry fields, categories the business actually needs.
  • No platform to endure. Neither an imposed price change, nor a feature withdrawn overnight.

What it costs you

  • Someone has to operate it. Updates, backups and monitoring do not happen on their own. They are part of the service.
  • No vendor support. No supplier commits to a resolution time if something breaks.
  • Rougher interfaces. Less polished than consumer software, and not all of them ship a dedicated mobile app.
  • An agent gets things wrong with confidence. Every output gets read, without exception. That is the entry price, not a reservation.
  • Reversibility gets organised. If the collaboration stops, someone takes over the operation or migrates it, and that is prepared in advance.
05

Rollout

Everything is installed from the start, but opened progressively, on real business events rather than on a calendar.

Week 1
Install and take over

The five core applications deployed, backed up and monitored. Three opened, one hour of training, a one-page memo. LINE, Facebook and TikTok accounts opened, and the watch delivering its first daily digest.

Week 2
First cadence and agents

A full week shot, edited, queued and published without adding a channel. Both agents reachable in messaging, compartmenting in place.

Week 3
Prospecting and automation

A first batch of targets on one vertical, read and corrected by hand. What has repeated three times then moves into a chain.

Month 2
Adjust on real numbers

The LINE tier set on real volume, export channels opened if the cadence holds. Stock opens when there are goods to trace, cash when the flows justify reading them by currency.
